Executive Assistant/Office Manager / Uxbridge / £35000 - £40000
Supporting the Chief Financial Officer/Senior Clinical Program Manager with all areas of HR and Finance
Assist with the day to day operations of the HR functions and duties
Assist with the day to day running of the Quality Management System.
Diary management and coordination for senior management and all staff, to ensure effective time management and use of resources.
Organise business travel (flights, hotels, and car transfers), internal, external meetings and conferences, arrangement of logistics for senior management and other members of staff, ensuring cost-effective and time-efficient use of resources.
Compilation and submission of accurate expense claims, in accordance with company procedures.
Support interactions with companies and companies within the group based in Finland, Switzerland, Canada and USA, maintaining excellent relationships
Schedule board meetings, prepare meeting agendas and minutes for the board of directors.
Liaise with other staff members on behalf of senior management.
Main point of contact for all incoming communications.
At least 5 year's experience working as an Executive Assistant/Administrative capacity in an office environment.
Executive support experience, administration, organisation skills, communication skills, initiative, workload management, discretion, multitasking, professionalism, strong attention to detail, adaptable, self-motivation & team-oriented.
Experience working in a scientific, clinical/medical, finance and/or legal environment would be a distinct advantage
Competent in the use if relevant Microsoft Office packages (Word, PowerPoint and excel) or similar.
High standard of written and spoken English
Confident self-starter, able to identify and address potential problems before they develop.
Flexible and adaptable in approach and outlook, working beyond the boundaries of a job title.
Outstanding inter-personal skills, always able to present a highly professional demeanor
