Our client is one of Europe's largest electricity generators and producer of heat operating across Europe. Their strategy is to reduce emissions from power generation with a road map to achieving climate neutrality by 2050.
We are now recruiting for a Document Controller to join their Document Management team in London on a long term contract position.
This is a new role supporting their Operations and Maintenance Department who manage numerous wind farms in UK. SharePoint has recently become a leading system within the business and they have produced 2 templates to store department and asset (wind farm) documents.
They now require a Document Controller to manage the migration of documents from Livelink to SharePoint. The Document Controller will prepare documentation in Livelink and will manage the migration process to new templates in SharePoint. They will ensure all documents are migrated to templates according to priorities and contract types with document metadata updated.
The Document Controller will also facilitate work instructions to the project team and our partners. Along with guiding the team into using SharePoint, showing them the benefits of working in such a system.
Single point of contact for O&M documentation
SharePoint Key-User (participate in Key-User Organisation for Wind)
With O&M, plan asset document migration by following migration process and O&M document priorities
Manage migration process in corporation with O&M, DDOM, Wind Migration Coordinator, IT Migration Factory and Document Management, ongoing communication of plans, actions, progress with all stakeholders
Prepare data for migration, LiveLink clean-up, according to migration process and checking/chasing documents with O&M team.
Set-up Asset SharePoint sites according to our contract types (basic configuration).
Assess data after migration, check links are re-directed, permissions correct, update metadata
Facilitate and train O&M in use of SharePoint (site/office locations)
Receive, distribute and track documentation, maintaining version control, meta data and system users
Facilitate the development of document control work instructions and processes internally and externally
Take an active part in the Document Control Team and contribute to our development tasks
Ambassador for the document management team when interfacing with other business areas.
Education/Qualification: Higher Level of Education preferred.
Experience, Skills, knowledge, strengths
Very strong oral and interpersonal communication skills
Ability to work in a project team and build strong relationships
Experienced in document management systems, processes and procedures.
Experience in managing technical documentation particularly in Engineering Industry
Proficient in MS Word, MS Excel, MS Visio, MS PowerPoint, Adobe Acrobat, Office 365, SharePoint and Livelink
Strong organisational, time management and coordination skills
Ability to adapt to tight deadlines, heavy workloads and frequent changes in priorities
Capable of working autonomously
Experience of working cross culturally and across global locations
Eye for detail and methodical worker.
The Document Controller will be an integral part of the O&M and Document Management teams, we are looking for someone who is interested in our work and wants to make a difference to our document management and the way we work. We are looking for a Document Controller on a long-term basis, initially a 6-month contract with a view to renew.
